It is considered a hassle to move your office. Even moving to a next floor or to the next building across the stress, it would still require a lot of planning and preparation. During a move, it is important to keep productivity up as much as possible.
A move will always have an adverse effect in your company’s productivity. While it is improbable to totally eliminate downtime, you can considerably minimize it by incorporating the following preparations into your moving plan:
Make Plans
If you cannot personally oversee the move, assign someone responsible to plan and oversee the entire move. By assigning one central person, you can avoid disturbing other personnel in the office. You will want to get quotes from many auto hauling companies. You will want to find the best moving companies in your area.
Supervisory employees can focus on coordinating with the assigned person on their concerns and requirements of their team’s part of the relocation. This will lessen the impact the move will have on productivity.
Moving the Move
In order to survive, best way to handle this is to avoid the move. This is not to suggest postponing the move date, just to offer alternatives to your employees. This is a good way if keeping them productive until you can make sure everything is on pace. You can allow them to work temporarily in their homes. There are many shops or the library where you can use the Internet.
Develop Alternatives
Even the best laid plans may have hitches, so it’s best to come up with contingency plans. Say for example, there are problems with the telephone lines during the move. For those who use the phone to communicate with their clients, this is a major issue. Get the best people to work on the phone line and at the same time come up with alternative solutions.
Notify Clients
You will want to let your clients know well in advance of the upcoming move. Your response time to inquiries and concerns may be a little delayed because of the move, so it’s best to inform them. You will want to give clients a way to contact you until the new office is operational. Finally, you will need to notify your clients that the move has been successfully complete and you have resumed normal operations.
Accept the Inevitable
One thing you need to remember is that no matter how well or how meticulous you have prepared for the move; some things are just bound to go wrong during the move. You will want to stay calm and come up with a different approach. You will still have downtime, no matter how well you plan things out. You will want things back to normal as quickly as possible, until then productivity will be slow as your employees adjust.
